Mission

The Traffic & Resource Manager at formula D_ is crucial in orchestrating the seamless flow of work within our experience design agency. We are not an advertising agency and therefore do not have traditional advertising agency roles and structures. This highly organized and detail-oriented individual will ensure that all project schedules are meticulously planned and adhered to from concept to completion. They will be Client-facing and coordinate tasks between internal teams and external suppliers in a fast-paced environment, maintaining a sense of urgency to move projects forward and remove any blockers. By developing detailed project schedules and working closely with project managers, designers, and other team members, they will prioritize tasks, allocate resources effectively, and keep all stakeholders informed with timely updates on project status and progress.   

Additionally, the Traffic & Resource Manager will play a vital role in continuously improving our related processes and workflows. They will identify potential risks, develop contingency plans, and ensure all deliverables meet the agency’s quality standards. By fostering strong relationships with external suppliers and maintaining a network of reliable and cost-effective partners, the Traffic & Resource Manager will help the agency deliver exceptional experiences to our clients. Through their leadership and dedication, the Traffic & Resource Manager will help formula D_ maintain its reputation for designing imaginative and innovative spaces that inspire and captivate our audiences.

Key Criteria/Requirements

    • Experience in Traffic & Resource Management:
      • Minimum of 8 years in project management or traffic/resource management roles, preferably within the exhibition design or related creative industries.
      • Demonstrated ability to manage multiple projects simultaneously and meet tight deadlines.
  • Project Coordination and Scheduling:
    • Develop and maintain project timelines, ensuring all tasks and milestones are clearly outlined and communicated.
    • Assign tasks to team members based on availability, skill set, and project requirements.
    • Monitor project progress and adjust schedules as necessary to ensure timely completion.
  • Resource Allocation and Management:
      • Assess current and upcoming project needs and resource capacity to allocate appropriate resources effectively and within project budget.
      • Maintain a comprehensive understanding of team members’ workloads, skills, and availability.
      • Optimize resource utilization by balancing workloads and preventing over or under-allocation.
  • Communication and Collaboration:
      • This role will report to the Project Managers and work alongside Project Leads.
      • Serve as a central point of contact for project updates, resource inquiries, and scheduling changes.
      • Facilitate clear and consistent communication between project stakeholders, including team members, clients, and project management.
      • Ensure that all dependencies are met by Client, i.e. Requests for Information are received.
      • Organize and lead regular status meetings to review progress, address issues, and realign resources as needed.
  • Risk Management and Problem Resolution:
      • Identify potential project risks related to timelines and resource availability.
      • Develop contingency plans to address unforeseen delays or resource shortages.
      • Ensure Change Orders are flagged and raised as appropriate.
      • Resolve conflicts or issues that arise during project execution, ensuring minimal impact on deadlines and quality.
  • Tools, Data Analysis and Reporting:
      • Ensure the project management tools (e.g. monday.com, Xero) are up to date with all key project milestones, tasks and hour allocations and latest status.
      • Collect and analyse data on project performance, resource utilization, and productivity so that lessons can be learned for future projects and risks can be mitigated.
      • Use data-driven insights to forecast future resource needs and plan accordingly.
  • Process Improvement:
    • Continuously evaluate and refine traffic and resource management processes to enhance efficiency and effectiveness.
    • Implement best practices and innovative solutions to streamline workflow and resource allocation.
    • Provide training and support to team members on updated processes and tools.
